From a bill nobody
reads to a list
you can act on
Ghostseats does one thing: it tells you which software seats you are paying for that nobody uses, and makes sure you cancel them in time. It is not a place to manage your vendors — you probably already have one of those.
The flow
Six steps,
one decision
Five of these happen without you. The only step that needs a human is the one where somebody says yes, cut it.
- 01
Bring in the invoices you already have
A software invoice, a company card statement, or an export from a spreadsheet. Drop it in and the line items get read for you.
- 02
Every licence lands in one list
Including the tools bought on somebody's personal card, which is usually where the surprises are.
- 03
You put a real usage number against each one
Not who a seat is assigned to — who actually opens it. That number sits in each tool's own admin page, and almost nobody has ever written it all down in one place.
- 04
Ghost seats surface with a price on them
Every unused seat, what it costs a year, and who in the business owns the budget it comes out of.
- 05
You approve what gets cut
Nothing is cancelled automatically. The list goes to whoever owns it, and they decide.
- 06
The renewal gets watched for you
Most contracts auto-renew unless you cancel inside a window you have almost certainly forgotten. We watch it.
The list
Everything you pay for, in one place
Most finance teams have never seen this view, because nothing in the accounting stack was built to produce it. Card statements show a vendor and a total, not a seat count.

Your paperwork, read for you
Invoices, card statements and spreadsheet exports. We read them. We never write to anything, and never cancel on your behalf.
One licence list
Every tool, every seat, every price — including the ones bought outside procurement.
Real usage, not assignment
The count of people who actually open it, which you supply per tool. A seat assigned to someone who never opens it is not a used seat.
The window
The deadline nobody diarised
A contract you meant to cancel in year one and are still paying for in year three is the most common finding, and the most annoying.
Ghost seat detection
Dormant accounts, departed staff, duplicate tools doing the same job in two departments.
Renewal windows
Every auto-renew date and the deadline to cancel, surfaced while you can still act.
Savings tracking
What you cut, what it saved, traced to a specific licence and a specific date.
How the reading works. Tool names on an invoice rarely match the product you actually use, and no two vendors bill the same way. AI reads the line items and proposes a list of subscriptions with prices and seat counts. Nothing is saved until you have looked at every row and corrected what it got wrong.

The trend
Proof it actually went down
Anyone can produce a list of things to cut. The number that matters is the bill twelve months later.
Cancelled this year
$412,000
Still ghosting
$96,400
Monthly software bill, twelve months of cutting. The line only goes one way once somebody is finally watching it.
Run it on your
real billing data
Not a demo dataset. Your tools, your seats, your renewal dates.
